Privacy Policy

HANS INSTITUTE is committed to collecting and processing personal data solely for specified, explicit, and legitimate purposes related to the admission process and travel assistance services. By submitting your personal information, you consent to HANS INSTITUTE retaining and using this data as necessary. If you are successfully accepted, this may include academic scores and admission records.

We will retain your data until either the admission process is completed or travel assistance has been fully provided. Once this period concludes—defined as the acceptance of your admission offer or the completion of travel assistance services—we will securely delete your data unless you provide consent for us to retain it for future roles or opportunities. Should we wish to keep your data for other purposes, we will inform you.

HANS INSTITUTE follows stringent privacy policies to ensure your data is securely stored and only accessed by authorized personnel, including the International Career Development Specialist (ICDS). The data will only be used for admission and travel assistance purposes.

You have the following rights regarding your personal data:

  • Right to access and rectify your data.
  • Right to request deletion (“right to be forgotten”).
  • Right to restrict processing.
  • Right to withdraw consent at any time.
  • Right to be informed about how your data is being processed.

A, Hans Institute Admission Terms and Conditions

1. Introduction

1.1 These Terms and Conditions apply to all participants enrolling in courses at Hans Institute.
1.2 By paying the Admission Fee, Tuition Fee, or any associated charges, you agree to comply with the policies outlined in these Terms and Conditions.
1.3 Please ensure that you have read and understood these Terms and Conditions before making any payments or registering for a course.

2. Admission Fee

2.1 The Admission Fee is required to secure your place on a course and amounts to GH₵300 for Ghanaians and $50 for non-Ghanaians.
2.2 This fee must be paid at the time of submitting your application to guarantee your enrollment.
2.3 The Admission Fee will be applied as a credit toward your total Tuition Fee.
2.4 If you withdraw within two 24 hours of payment (the “Cooling Off Period”), you are entitled to a full refund of the Admission Fee. After this period, the fee becomes non-refundable.

3. Tuition Fees

3.1 Tuition Fees are published on the Hans Institute website or other official platforms and are subject to change.
3.2 All Tuition Fees are payable in accordance with the Payment Schedule provided after your enrollment.
3.3 Discounts and bursaries may be available but cannot exceed 12.5% of the total Tuition Fee.
3.4 Learners who take longer than the recommended timeframe to complete their course may be subject to increased Tuition Fees.
3.5 The full Tuition Fee must be paid no later than three days before the course start date unless otherwise arranged.

4. Payment Plans

4.1 Hans Institute offers flexible payment options, including instalments, as agreed upon in the Payment Schedule.
4.2 Payments can be made through various methods, including bank transfer, credit or debit card, or online payment systems.
4.3 Failure to meet the payment deadlines may result in the cancellation of your enrollment or restricted access to course materials.

5. Refund Policy

5.1 Learners who withdraw within 24 hours of their course start date are eligible for a full refund of the Tuition Fees paid for that module.
5.2 No refunds will be provided for withdrawals after the start of the course.
5.3 Any refunds will be processed within three weeks and paid to the account or financial institution that made the original payment.
5.4 Refunds will be calculated in Ghana Cedis, and Hans Institute is not responsible for any bank fees, charges, or exchange rate fluctuations.

6. Course Suspension and Interruptions

6.1 Learners may request a temporary suspension of their studies due to personal circumstances.
6.2 During the suspension, any fees paid will be retained and applied when the course is resumed. Additional fees may be charged for re-enrollment or continuation after the interruption.
6.3 Learners who withdraw permanently during the suspension will not be eligible for a refund of any previously paid Tuition Fees.

Liability:
Extended processing time shall not constitute a breach of contract or grounds for refund, provided Hans Travels continues to render assistance in good faith.

7. Non-Payment of Fees

7.1 If a learner fails to make a payment by the required deadline, they may be removed from the course and denied access to course materials.
7.2 Learners are personally liable for their Tuition Fees even if a third-party sponsor or loan provider is responsible for the payment.
7.3 Hans Institute will send two reminders to learners with outstanding debts. Failure to resolve outstanding payments may lead to the initiation of legal action to recover the debt.

8. Withdrawal and Cancellation

8.1 Learners who wish to withdraw from a course must provide written notice to Hans Institute.
8.2 If a learner withdraws after the course has begun, no refund will be provided for the module currently in progress.
8.3 Learners who have prepaid for future courses will receive a refund for any courses not yet started, minus any early payment discounts received.

9. Course Completion Timeframe

9.1 Learners are expected to complete their courses within the following recommended timeframes:

  • 5 days for Free Courses
  • 10 days for Certification Courses
  • 20 days for Diploma Courses
  • 1 month for Advanced Diploma Courses
    9.2 If a learner exceeds the recommended timeframe, they may incur additional Tuition Fees.

10. Privacy and Data Protection

10.1 Hans Institute collects personal data solely for the purpose of admission, course administration, and travel assistance.
10.2 By submitting your details, you consent to the use of your information for these purposes.
10.3 Your data will be securely stored and only shared with authorized personnel involved in your admission or travel arrangements.
10.4 Learners have the right to access, rectify, or request the deletion of their personal data, as well as the right to withdraw consent. Please contact the International Career Development Specialist (ICDS) at +233598950958 for any concerns.

11. Force Majeure

11.1 Hans Institute is not liable for any failure to perform its obligations due to unforeseen circumstances beyond its control, such as natural disasters, pandemics, or government restrictions.

12. Amendments to Terms and Conditions

12.1 Hans Institute reserves the right to amend these Terms and Conditions at any time, in accordance with legal or regulatory requirements.
12.2 Learners will be notified of any changes in writing via email at least two days before the new terms take effect.

13. Governing Law

13.1 These Terms and Conditions are governed by the laws of Ghana, and any disputes arising from them will be subject to the exclusive jurisdiction of the Ghanaian courts.

Hans Travels – Terms and Conditions for Documentation Assistance

1. Introduction

Welcome to Hans Travels, a subsidiary of Hans Institute. These Terms and Conditions (“Terms”) govern the provision of travel documentation assistance services (“Services”) rendered by Hans Travels to trainees (“Trainees”) seeking international travel for purposes such as education, employment, or other official engagements.

By utilizing our services, Trainees agree to adhere to these Terms in their entirety. It is expressly stated that should a Trainee join through the Work and Pay travel assistance program, all conditions within these Terms shall be applicable.

2. Scope of Services

Hans Travels provides comprehensive documentation assistance, which includes, but is not limited to:

  • Visa application support
  • Documentation review and preparation
  • Guidance on requisite travel documents

Disclaimer: Hans Travels does not guarantee the issuance of visas or entry permissions, as such decisions rest solely with governmental authorities.

3. Payment and Fees

  • Administrative Fee: GH₵30,000 (non-refundable once processing commences).
  • Payment Terms: Full payment is required prior to the commencement of services unless otherwise agreed in writing.
  • Interest: Any payment made into the Hans Institute account shall not accrue interest for the Trainee.

4. Cancellation and Refund Policy

4.1 Administrative Fee Payment

  • The administrative fee becomes payable immediately upon commencement of administrative work, regardless of travel purpose.
  • If not paid upfront, it must be settled within two months after relocation and settlement in the host country.

4.2 Non-Refundable Fees

  • Administrative fees are non-refundable once work has begun.
  • If the process is cancelled after commencement, Hans Travels shall deduct the administrative fee and other expenses incurred.

4.2.1 Cancellation of Travel Assistance After Process Commencement

  • Acknowledgement: By making payment, the client agrees to these Terms.
  • Non-Refundable Administrative Fee: GH₵30,000 covers services such as consultations, applications, and coordination.
  • Cancellation: If cancelled after commencement:
  • 70% of the total payment will be retained.
  • Only the remaining balance (if any) may be refunded after deductions.
  • Non-Refundable Expenses: Third-party service fees, documentation charges, courier costs, and processing expenses are non-refundable.
  • Refund Timeline: Eligible refunds will be processed within 180 working days. If the balance is negative, the client must top up.

4.2.2 Discontinuation Due to Visa Refusal

  • Acknowledgement: Visa outcomes are at the discretion of consulates/embassies. Hans Travels only provides assistance, not guarantees.
  • Non-Refundable Fee: The GH₵30,000 administrative fee remains non-refundable even if the visa is refused.
  • Discontinuation: If the client discontinues after refusal:
  • All service fees already rendered are non-refundable.
  • Third-party costs are non-refundable.
  • Refund Eligibility: Only if payments exceeded costs may a partial refund be considered, subject to verification and deductions.
  • Processing Time: 180 working days.
  • Important: Visa refusal is not grounds for a full refund.

4.3 Refund Calculation and Process

  • Refunds = Total Payment – (Administrative Fee + Incurred Expenses).
  • If the payment is less than costs, the Trainee must top up the balance.
  • Refunds are processed within 180 working days of a complete request.

4.4 Refund Period

Refunds for unused services will be processed within 180 working days after verification and deduction of fees.

4.5 Change of Travel Plans

  • Changes by the Trainee may incur additional charges.
  • Refund requests must be officially submitted within 180 days of the change.

4.6 Visa Refusal

  • Fees already paid are non-refundable.
  • Hans Travels may provide reapplication support at an agreed fee.

4.7 Travel Program Adjustments

  1. Travel Schedule Modifications: Hans Institute may adjust travel dates due to factors such as visa delays, regulations, health, or policies.
  2. Eligibility & Compliance: Modifications may be based on age, immigration policies, financial obligations, or other conditions.
  3. Flight Ticket Modifications: Rebooking fees are the responsibility of the Trainee.
  4. Cancellation Policy: A full refund of the trip fee applies if formal cancellation is communicated in writing.
  5. Decision Authority: Hans Institute reserves the right to make final decisions regarding travel adjustments.

4.8 Delayed Refunds Clause

  • Compensation: If delay is >30 days beyond the due date, Hans Travels will add 1% of refund value.
  • Updates: Regular updates will be provided every fifteen business days.
  • Escalation: Issues beyond 60 days may be escalated to hr@hansinstitutes.com
  • Finality: Hans Travels reserves the right to investigate causes of delay and adjust compensation accordingly.

4.9 Processing Duration and Delays

  • Expected Timelines: All processing durations stated in Hans Institute or Hans Travels’ official posts, adverts, or communications are estimated timelines based on prior experience and general processing trends.

Possible Delays: Processing times may extend beyond the stated duration due to factors beyond the Institute’s control, including but not limited to:

  • Embassy or consular backlogs
  • Verification procedures
  • Employer response delays
  • Changes in immigration laws or policy updates
  • Incomplete or delayed submission of documents by the Trainee

Notification and Updates:

  • Hans Travels shall provide regular status updates if delays occur.
  • Where processing exceeds 30 days beyond the stated duration, the trainee shall be notified in writing.

Liability:

Extended processing time shall not constitute a breach of contract or grounds for refund, provided Hans Travels continues to render assistance in good faith.

Assurance:

Hans Travels remains committed to completing all processes as efficiently as possible, ensuring each case receives the attention required for successful completion.

4.10 Legal Entry and Transition Clause

Legal Entry Note:

In certain cases, trainees may initially travel under an Orientation or Business Visa for the purpose of familiarization, training, or institutional orientation. Subsequently, through verified employer sponsorship and authorized agency support, the visa status may be legally transitioned into a work permit or residence authorization in compliance with the host country’s immigration laws.

Hans Institute – Hans Travels shall ensure that such transitions are handled transparently, professionally, and within the framework of international immigration standards.

The Institute shall not be liable for delays, denials, or immigration policy changes affecting the transition process, provided all actions taken are lawful and in accordance with official regulations.

4.11 Miscellaneous Expenses

Hans Travels reserves the right to request the applicant to pay for certain miscellaneous expenses that may arise during processing. These may be paid directly by the applicant to third-party institutions or, when necessary, through Hans Institute or Hans Travels for coordination purposes.

Such expenses include, but are not limited to:

  • Visa fees payable to embassies or authorized visa centers
  • Travel or medical insurance fees
  • Postage, courier, or mailing costs
  • Bank or transaction charges
  • Printing, notarization, or translation costs
  • Embassy appointment rescheduling fees
  • Communication or coordination-related costs with third-party institutions

All such payments are non-refundable, and Hans Travels shall not be held responsible for refunds, delays, or disputes relating to amounts paid directly to third-party entities.

5. General Study and Work Assistance

5.1 Processing Overview

Hans Institute facilitates:

  • Coordination with host institutions
  • Issuance of requisite documentation
  • Credential evaluations through bodies like WES.

5.2 Documentation

  • Upon admission, Trainees are issued the necessary documents for visa/employment.
  • Trainees are responsible for accuracy and timely submission.
  • Administrative Fees: Non-refundable once processing begins.

5.3 Credential Evaluation

  • Hans Institute submits academic credentials to authorized bodies.
  • Evaluation Fees: Paid separately by the Trainee.

5.4 Trainee Responsibilities

  • Provide complete documentation.
  • Apply for visa on time.
  • Comply with immigration laws.
  • Pay all fees (evaluation, tuition, etc.) promptly.

5.5 Program Cancellation by Trainee

No refunds will be issued if cancelled after documentation issuance or evaluation.

5.6 Work and Pay Offer Program

  • No upfront fees.
  • If cancelled after commencement, 70% of initial payment remains payable.
  • No refund of administrative fees.

5.7 Deportation or Legal Issues

Hans Institute reserves the right to claim up to 30% of administrative fees in such cases.

5.8 Refund Policy

  • Non-Refundable Payments: Once documentation (I-20, visa appointments, SEVIS, insurance, admissions, etc.) is issued, all payments are non-refundable.
  • Request Period: Refund requests (for exceptional cases like program cancellation by Hans Institute) must be made within 90 working days.
  • Processing Time: 180 working days.

5.9 Force Majeure

Hans Institute is not liable for service failure due to events beyond control (e.g., natural disasters, restrictions).

5.10 Termination of Services

Hans Institute may terminate services if the Trainee breaches these Terms.

5.11 Dispute Resolution

Disputes will be resolved through mediation or arbitration under local laws.

6. Work Visa Services

6.1 Scope of Work Visa Services

Hans Institute provides comprehensive facilitation services for individuals pursuing employment opportunities abroad.

These services include:

  • Matching applicants with verified employers
  • Supporting visa documentation and embassy liaison
  • Coordinating required travel logistics
  • Providing pre-departure guidance and compliance advisories

Note: Hans Institute is not a visa-issuing body or immigration authority. All visa decisions are made solely by the respective embassies or immigration offices.

6.2 Visa Approval and Denial

All visa approvals are subject to the sole discretion of the respective country’s immigration authority or embassy.

Hans Institute is not liable for visa denials that arise from:

  • Inaccurate or false information submitted by the applicant
  • Incomplete documentation or failure to meet immigration requirements
  • Embassy policy changes or unforeseen restrictions

No refund shall be issued if the visa is denied due to reasons attributable to the applicant.

6.3 Employer Withdrawal or Job Unavailability

If the employer:

  • Cancels or withdraws the job offer
  • Shuts down operations
  • Terminates the offer before visa issuance
  • Is unable to proceed due to legal, financial, or logistical reasons

Hans Institute will:

  • Attempt to provide an alternative employer within 30 business days.
  • If unsuccessful, initiate a refund per Section 6.5.

6.4 Change of Visa Route or Destination

Applicants may request a change in visa category (for example, from Work Visa to Business Visa) or switch to a different destination country.

Such changes are subject to:

  • Eligibility verification
  • Document compliance
  • Employer availability

A Route Change Administrative Fee of up to 10% of the Travel Facilitation Fee (TFF) may apply for applicant-initiated changes.

However, if the Institute determines that a change in visa route or destination is necessary — due to embassy directives, employer adjustments, regulatory compliance, or improved placement opportunities — no 10% administrative fee shall apply.

New timelines will take effect based on the updated visa route or destination.

Additional Note on Visa Route Changes

If a visa route or destination change is initiated by the Institute, all costs associated with such change will be managed under the Institute’s internal processing policy, and no additional administrative fee will be charged to the applicant.

If the change is requested by the applicant, the standard 10% Route Change Administrative Fee and adjusted timelines under Section 4 will apply.

All other refunds, deduction, and processing timelines remain as defined in this section.

6.5 Refund Policy

6.5.1 100% Refund Entitlement

A full (100%) refund of the Travel Facilitation Fee (TFF) shall be granted if:

  • The employer cancels, withdraws, or terminates the job offer prior to visa issuance.
  • No material or third-party expenses have been incurred by Hans Institute on behalf of the applicant.

6.5.2 Partial Refund (After Expenses)

If expenses (such as visa appointment booking, medicals, courier fees, documentation handling) have been incurred before the employer’s withdrawal, these costs shall be deducted from the TFF, and the balance refunded.

6.5.3 Voluntary Withdrawal or Discontinuation

If the applicant voluntarily withdraws from the process or discontinues their application for any reason, a 70% penalty shall apply to the TFF. The remaining 30% may be refunded only if no third-party expenses were incurred.

6.5.4 Applicants Switching from an Ongoing Application

  • The top-up amount will be governed under the current Work Visa Services refund policy.
  • Any previous payments made under the original trip or visa category shall remain subject to the original Terms and Conditions at the time of that engagement.
  • No transfer of refund eligibility from the previous application shall apply to the new category unless explicitly agreed in writing by Hans Institute.

6.5.5 Non-Refundable Items

  • Visa fees paid directly to the embassy or its authorized agents
  • Medical examination or credential evaluation fees (e.g., WES, background checks)
  • Translation, attestation, and courier service charges
  • Administrative processing or agent fees not covered by the TFF

6.5.6 Refund Timeline

All approved refunds shall be processed within 180 working days from the date the refund request is submitted with complete supporting documentation.

Refunds shall be disbursed via the original payment method or verified bank transfer.

6.6 Processing Timeline

The standard processing period for Work Visa Services is between 4 to 48 weeks, depending on:

  • Employer responsiveness
  • Embassy appointment availability
  • Document readiness and applicant cooperation
  • Country-specific processing regulations

Note: Delays due to public holidays, embassy workload, or global events do not qualify for compensation or cancellation-based refund claims.

6.7 Responsibilities of the Applicant

The applicant agrees to:

  • Submit all required documents promptly.
  • Cooperate with all verification, medical, or compliance procedures.
  • Avoid falsification or misrepresentation.
  • Make timely payments as invoiced.

Failure to comply with any of these obligations may result in termination of services without refund.

7. Job Filing Terms Agreement

7.1 Agreement Overview

Covers post-training job placement and filing services upon completion of training.

7.2 Job Placement

  • Hans Institute assists in securing jobs in USA, Ireland, Singapore, Australia, Canada, Luxembourg, etc.
  • Employers apply for work permits (up to 2 years, renewable if any).

7.3 Services Include:

  • Professional CV creation
  • Submission to employers
  • Participation in placement process
  • Job interview coordination

7.4 Participant Obligations

  • Submit documents on time.
  • Actively participate in placement activities
  • Notify Hans Institute upon securing employment.

7.5 Employment Terms

  • Employment subject to employer’s conditions
  • Hans Institute supports during initial employment.

7.6 Fees and Payments

  • No upfront fees
  • Success fee: up to $3,250
  • Payable in installments starting from second month’s salary (within 6 months).

7.7 Religious Worker Service

  • Resume review and job filing for max four vacancies.
  • Service fee: GHS 1000
  • No guarantee of placement
  • No refund for employer rejections
  • Clients must conduct themselves professionally.

7.8 Caregivers, General Helpers & Others Placement

  • Service fee: $3,250.
  • Initial payment: $500
  • Certified trainees under work and pay: balance payable in six monthly installments
  • Non-certified trainees: balance payable in 3 weeks
  • No liability for employer decisions
  • Professional conduct required.

7.9 Job Placement Timeline

Hans Institute aims to complete job placements in a timely and professional manner. Upon successful registration and payment of the initial service fee, the estimated duration for securing a Job Offer Letter ranges from 4 to 12 weeks, as follows:

  • Registration & Initial Documentation (Week 1): Candidate completes registration and pays the initial fee of $550. All required documentation must be submitted promptly.
  • Profiling & Document Verification (1–2 Weeks): Review and enhancement of candidate documents and preparation of a professional job profile.
  • Job Matching & Employer Review (2–4 Weeks): Matching the applicant with suitable employers and arranging interviews where applicable. Employer-specific assessments or pre-placement requirements may apply.
  • Job Offer Issuance (4–8 Weeks): Upon employer selection, a formal Job Offer Letter is issued. The candidate is required to pay the remaining balance of $2,700 to proceed further.
  • Visa Support & Next Steps (Post Offer Letter): Depending on country, Hans Institute may assist with visa documentation, housing options, or travel advice at a fee.

Important Notes:

  • Placement timelines may vary depending on employer demand, candidate qualifications, response time, visa policy changes, and document readiness.
  • Hans Institute shall not be held responsible for delays caused by third-party employers, embassy processes, or incomplete documentation provided by the applicant.
  • Expedited services may be offered under certain programs subject to availability and employer discretion.

8. Working Permit Program Service

8.1 Service Scope and Intent

Hans Institute – Hans Travels provides visa application assistance and recruitment coordination services for individuals seeking employment opportunities abroad. Our role is limited to facilitating the visa application process and connecting applicants with verified employers or recruitment agencies. We do not guarantee job offers, employment contracts, or visa approvals.

8.2 Employer Withdrawal Clause

If an employer or recruitment partner withdraws their offer, suspends recruitment, or discontinues participation:

8.2.1 Non-Refundable Administrative Fee

All administrative fees paid for application assistance, documentation support, and related services are non-refundable, as these services are rendered upon commencement of the process.

8.2.2 Replacement or Alternative Opportunities

Hans Institute – Hans Travels will make reasonable efforts to:

  • Identify and propose alternative employers or positions within a reasonable timeframe.
  • Transfer the applicant’s processing to another ongoing program of similar scope (if available).

Participation in an alternative opportunity may be subject to added terms, timelines, and additional costs.

8.2.3 Refund Limitations

Refunds will not be issued solely due to employer withdrawal. This includes cases where:

  • The employer suspends or delays recruitment.
  • Quotas are filled before application is finalized.
  • Employers or government changes eligibility criteria.

Refunds, if considered, will only apply to amounts not yet used for third-party services or administrative processing and are subject to:

  • Written evidence of employer withdrawal.
  • Deduction of all processing and administrative expenses.
  • Processing within 180 working days.

8.2.4 Program Changes and Force Majeure

  • Employer restructuring or policy changes
  • Immigration law amendments
  • Global/regional crises (pandemics, unrest, etc.)
  • Acts of God or other events beyond control

8.2.5 Acknowledgement of Risk

By registering, the applicant accepts that recruitment partnerships may change, and final decisions rest solely with employers or immigration authorities. Hans Institute – Hans Travels acts only as a facilitator.

8.3 Termination of Agreement

  • The participant fails to engage in job placement activities or provide requisite documentation.
  • Hans Institute is unable to secure employment for the Trainee within 30 days following program completion in the host country.

8.4 Confidentiality

Both parties agree to maintain the confidentiality of all proprietary and personal information shared during this agreement.

8.5 Dispute Resolution

Any disputes shall first be resolved through mediation. If mediation fails, the matter may be submitted to arbitration under Ghanaian law.

8.6 Governing Law

This agreement shall be governed by and construed in accordance with the laws of Ghana.

9. Visa Refusal and Denial of Entry

  • Non-Guarantee: Hans Travels is not responsible for visa refusals or entry denials, as such decisions are made by immigration authorities.
  • Denial Assistance: If a Trainee is denied entry, Hans Travels will provide guidance on next steps but is not liable for costs.

10. Trainee Responsibilities

  • Accurate Information: Trainees must provide correct and truthful details for visa processing.
  • Compliance: Trainees must comply with all visa application procedures.

Hans Travels shall not be held liable for delays caused by inaccurate or incomplete information.

11. Limitation of Liability

  • Third-Party Actions: Hans Travels is not liable for government or immigration actions.
  • Indirect Damages: Hans Travels is not liable for indirect damage, including missed opportunities.

12. Deportation and Misconduct

  • Consequences: If a Trainee is deported due to misconduct, they are liable for costs incurred by Hans Travels.
  • Penalty: Trainees must remit penalty payments within 30 days of notification.

13. Unauthorized Third-Party Assistance

Trainees are strictly prohibited from seeking third-party assistance for visa processing or employment not authorized by Hans Travels.

14. Force Majeure

Hans Travels is not liable for service disruptions caused by events beyond its control, including but not limited to natural disasters, government restrictions, or pandemics. In such cases, administrative fees will not be refunded.

15. Legal Compliance

Trainees must comply with all relevant laws and regulations of the host country. Hans Travels will not be responsible for legal issues arising from non-compliance.

16. Termination of Services

Hans Travels reserves the right to terminate services if a Trainee violates these Terms and Conditions. No refunds will be provided, and additional administrative fees may apply.

17. Governing Law and Dispute Resolution

These Terms are governed by the laws of Ghana. Any disputes will be subject to mediation or arbitration under local laws, with legal action pursued only as a last resort.

18. Amendments

Hans Travels reserves the right to amend these Terms at any time without prior notice. Continued use of the Services following any changes implies acceptance of the new Terms.

19. Acknowledgment

By making payment to Hans Travels, Trainees acknowledge that they have read, understood, and agreed to be bound by these Terms and Conditions.

20. Waiver Clause

Hans Institute – Hans Travels shall not be deemed to have waived any rights, terms, or provisions under these Terms and Conditions due to any delay, omission, or partial exercise of any right or remedy.

No waiver of any breach, default, or failure by a Trainee shall be interpreted as a waiver of any subsequent breach, default, or failure. Any waiver must be made expressly in writing and signed by an authorized representative of Hans Institute – Hans Travels.

This clause affirms that Hans Institute – Hans Travels retains full legal and administrative authority to enforce all its policies, notwithstanding any prior flexibility, leniency, or verbal assurances extended to a Trainee.

If cancelled, Hans Travels retains the GH₵ 30,000 fee and deducts any expenses incurred.

The GH₵ 30,000 covers consultations, application processing, and coordination.
If cancelled: 70 % of the total payment is retained; any remaining balance may be refunded.
Third-party costs (e.g., courier, embassy, or service fees) are non-refundable.
Refunds, where applicable, are processed within 180 working days.

4.2.2 Visa Refusal

Hans Travels is not responsible for embassy decisions.
The GH₵ 30,000 administrative fee remains non-refundable even if a visa is refused.
Partial refunds may be considered only if total payments exceed incurred costs.

4.3 Refund Calculation

Refund = Total Paid – (Admin Fee + Expenses).
If the calculated balance is negative, the trainee must top up.

4.4 Refund Period

Refunds for eligible cases are processed within 180 working days after verification.

4.5 Change of Travel Plans

Trainee-initiated changes may attract extra charges.
Refund requests must be filed within 180 days of the change.

4.6 Visa Refusal (Extra Note)

Paid fees remain non-refundable.
Hans Travels may assist with reapplication at an additional fee.

4.7 Travel Program Adjustments

Hans Institute may adjust travel schedules due to visa delays, health, or policy issues.
Rebooking fees are the trainee’s responsibility.
If the trainee cancels in writing before travel, a full refund of trip fees may apply.
Hans Institute retains authority to make final decisions on travel adjustments.

4.8 Delayed Refunds Clause

If a refund is delayed more than 30 days, Hans Travels adds 1 % compensation on the refund value.
Progress updates are issued every 15 business days; unresolved cases after 60 days can be escalated to hr@hansinstitutes.com.

4.9 Processing Duration and Delays

Processing timelines published by Hans Institute or Hans Travels are estimates only.
Possible delays include embassy backlogs, document verifications, employer responses, and policy changes.
Extended processing time does not constitute breach of contract or grounds for refund if Hans Travels continues acting in good faith.

4.10 Legal Entry and Transition Clause

Some trainees may first travel under an Orientation or Business Visa before legally transitioning to a work or residence permit through employer sponsorship.
Hans Travels ensures such transitions comply with immigration laws but is not liable for delays or denials caused by government policy changes.

4.11 Miscellaneous Expenses

Hans Travels reserves the right to request the applicant to pay for additional expenses that may arise, including:
visa fees, travel or medical insurance, courier/postage, bank charges, translation or notarization, rescheduling, or communication costs.
These payments are normally made directly to third-party institutions and are non-refundable.

5. General Study and Work Assistance

Covers documentation and coordination for academic and work programs, including WES evaluations.
Administrative fees become non-refundable once processing begins.
Trainees must provide accurate information and pay all related costs on time.
No refunds are granted after issuance of admission or visa documents.
For Work and Pay, if a trainee cancels after commencement, 70 % of initial payment remains payable.
Refunds for exceptional cases (e.g., program cancellations by Hans Institute) are processed within 180 working days.

6. Work Visa Services

6.1 Scope

Facilitation for employment abroad—job matching, visa documentation, logistics, and pre-departure guidance.
Hans Institute is not a visa-issuing body.

6.2 Visa Approval and Denial

Visa issuance is solely at embassy discretion.
No refund if refusal results from applicant errors or policy restrictions.

6.3 Employer Withdrawal or Job Unavailability

If an employer cancels or withdraws, Hans Institute will try to provide an alternative within 30 business days or process a refund per Section 6.5.

6.4 Change of Visa Route or Destination

Applicants may request to switch routes or countries (up to 10 % TFF fee).
If Hans Institute initiates the change for compliance, employer, or embassy reasons, the 10 % fee does not apply.
New timelines take effect from the update.

6.5 Refund Policy

  • 6.5.1 100 % Refund: Employer withdraws before visa issuance and no expenses incurred.
